Scheduling students into clinical placements can be a complex and stressful process. Students in their first year of clinical placements all require the same set of experiences, but they can’t all be scheduled for the same times. In later years, students will need to complete specific electives at specific times. The One45 Lottery features ensure your scheduling process is fair and transparent, so you don’t need to stress about scheduling.
Designed for straightforward rotations where students follow a defined list of experiences in a given time period, the Stream Lottery lets you define various combinations of experiences (known as streams or tracks) that students can select from. Your learners can then rank the streams or tracks that they prefer, for example, Student A might prefer to do Pediatrics, Medicine, and then Surgery, while Student B might prefer Medicine, Surgery, then Peds. Once the preferences are in place, the system runs a “best-fit” algorithm to try and give each student his or her top preferences.
For more complicated rotation schedules, the Rotation Lottery uses an advanced algorithm to help you manage rules-based constraints such as student preferences, staffing levels, and other limitations. The rotation lottery uses your scheduling rules to create a student-facing survey where students can enter their preferences. Using the survey responses and your scheduling preferences, the system generates a “best-fit” schedule which you can then edit and finalize.
Combining the powerful algorithms of the Stream Lottery and the Rotation Lottery, the randomized Stream Lottery helps you place students into educational streams or tracks at randomized educational sites.
As part of our onboarding process, our implementation team will ask you a detailed set of questions to map out your scheduling preferences and requirements. We’ll then help you put these preferences into the system in a way that gets you the results you want.
When scheduling rules or desires result in a conflict, our team will help you navigate these incompatibilities and make the right trade-offs. You’ll end up with a schedule that you’re happy with, and we’ll make sure we capture those trade-offs so that your process improves year after year.
Once you’ve got your rules down pat, you can forget about your complex scheduling preferences and dependencies. Each new academic year, we will help you “roll over” your lottery rules and review your preferences with you to make any necessary updates. This means that the investment you made in getting everything into the system pays off year after year.
