To schedule a new event on your academic or rounds schedule:
1 Click the Schedules tab.

2 Click the appropriate schedule under the Academic Session header.

3 Click "new." The event scheduling tool appears under the New tab.

4 If you want to use an event template, choose one from the dropdown window. If you don't want to use a template, skip this step (for this example, we will not use a template).
Events can be scheduled either from scratch or by using an event template. To learn more about event templates, click here.

5 Click the "event name" box and type a title for the new event.

6 Click the coloured flag beside the event name and select the colour you'd like to use for the new event. To learn more about using coloured flags, click here.
7 To choose the people who will be presenting at the new event, click the "+/-" sign beside "presenters."

| All faculty in your group automatically have access to the schedule and can see which events they are scheduled to present at. However, if someone outside of your group (i.e., someone who is not in your Rolodex) is assigned to present at an event, they will see a link to the schedule in their eDossier. |
In the People Picker, choose the presenters by clicking the first letter of their last names and then choosing them from the list that appears. When you have finished choosing people, click the Ok button.

| One45 automatically uses this list if you choose to set up an evaluation of event presenters (see step 13). This list is also used to collect data for other parts of the system (e.g., teaching hours). |
8 Type a category name for the new event in the "category" box (e.g., nephrology).
Since one45 automatically stores a list of the event categories that you have used in the past, an autocomplete window may appear as you type with a list of alphabetically similar categories that you can choose from.

Alternately, you can click the list button beside the "category" box and choose a category from the entire list.

9 Click the calendar icon and choose the date of the event.

10Choose the start and finish times for the event.

11 Type the location of the new event in the "location" box (e.g. SPH).
As with event categories, one45 automatically stores a list of the event locations that you have used in the past. Therefore, as you type, an autocomplete window may appear with a list of alphabetically similar locations that you can select from.

Alternately, you can click the list button beside the "location" box and choose a location from the entire list.

Different programs will name their locations in different ways. To learn more about your list of event locations, click here.
12To include a list of people who are expected to attend the event, click "Attendees."

To add students, residents or faculty to the list, click the appropriate "+/-" sign and use the People Picker to choose them.
13To set up evaluations of the presenter(s) and the event itself, click "SendOut" and follow the instructions in the image below.

All of the people in your attendees list will receive links to the evaluation forms in the To Do subfolder of their eDossiers.
14To attach learning objects to the event, click "Learning Objects" and then the "add object" link.

Enter the object information in the new window and click the Ok button.
15If you are scheduling an event that occurs on a regular basis (e.g., a weekly event), you should save the details as a template by clicking the "save as template" link at the bottom of the page. This template can then be used when scheduling similar events in the future.

16Click the Save button. The new event is added to your academic half-day schedule.
